We are currently seeking an experienced, self-starter, goal oriented, successful professional to fill the role of Administrative Services Manager in our Indianapolis office.  This is a full-time, 40 hour a week position that requires the ability to work in the office 5 days a week. As an Administrative Services Manager you will manage the regional office and provide administrative support to the regional Vice President and other senior staff.

What You Will Do:

  • Provide administrative support to the regional Vice President, and other senior staff as needed.
  • Manages regional office, including front desk operations, facilities maintenance, technology, office equipment, mail & supplies to establish and maintain a professional work environment.
  • Responsible for contractor licenses, labor law poster compliance and office contracts.
  • Manages expenditures for the regional office including forecasting and tracking itemized spending data.
  • Manages the SharePoint site for the region.
  • Coordinates employee-related transactions which include regional recruiting, onboarding and separations.
  • Responsible for invoice review and coding, and a variety of accounting related transactional processes including office overhead expenses and employee reimbursements.
  • Coordinates travel needs for cross-market travelers and associated allowances as needed.
  • Coordinates regional/company meetings, events, lunches, including sending out invitations, securing the venue, audio/visual needs, and food and beverage.

A successful candidate will serve as an ambassador for the region and can manage sensitive situations confidentially.  They can drive results, manage conflict, cultivate innovation and plan and prioritize work.

What You Will Bring:

  • Five (5) + years of administrative experience, construction experience a plus
  • High school diploma required, college degree a plus
  • Advanced Microsoft Office (Excel: pivot tables, conditional formatting.  PowerPoint: Incorporate audio/video, templates/themes, transitions, etc.). Ability to train others.
  • Advanced working knowledge of how to create and manipulate PDFs (PDF markup, search, tool chest, cut content, bookmark, page number, apply digital stamps.)
